Australian buyer guide · Checked 6 October 2026

Compare intranet prices. Understand what you are really buying.

If your organisation already uses Microsoft 365, IT may suggest SharePoint. It can be a good option. But a licence is not a finished intranet. Someone still needs to organise it, set access, launch it and keep it useful.

Platform is an off-the-shelf Australian intranet built on more than 20 years of intranet experience. It gives your team a ready-made home for communications, policies, learning, forms and resources. Compare that approach with Microsoft-based solutions, other standalone intranets and frontline apps.

Prepared by Platform. Best-fit and trade-off assessments are our editorial view; pricing is linked to vendor sources.

Choose the approach first

Three routes to an intranet.

They solve overlapping problems, but you are not buying the same thing. Compare the finished outcome and who will run it, not only the licence.

Configure SharePoint

Use the Microsoft 365 foundation you may already have. Plan the structure, permissions, rollout and governance, with IT or a partner responsible for the tenant, security and integrations.

Business editors can maintain pages. Content owners keep information current.

Buy a standalone intranet

Start with a packaged employee home, rather than assembling the foundation. Compare the included communications, knowledge, policies, learning and workflow tools.

Business teams can lead content. IT may still help with identity, access and integrations.

Choose a frontline app

Put mobile communications and operations first when many people work away from a desk. Compare reach, chat, scheduling, forms and training against the work your people do.

Check deeper knowledge, document governance and workflow requirements in the right tier.

Every option needs someone accountable for content.

Published prices are examples, not like-for-like total costs. We keep currencies and billing periods as stated by each vendor. Open each panel for scope, strengths, trade-offs and sources.

“Request quote” means no numeric rate was verified in the sources reviewed, not that a vendor never publishes prices. This is a selected shortlist, not an exhaustive market list. Categories reflect the main buying approach; products can span categories.

Microsoft-centric organisations with IT or partner capacity for tenant administration, security and integrations.

Pricing basis

Pricing, strengths and trade-offs
Pricing and terms
Australian bundle example: Microsoft 365 Business Basic with Teams is AUD $10.50/user/month, paid yearly, with annual auto-renewal, excluding GST, for 1–300 users. This is a broader Microsoft 365 bundle, not a standalone SharePoint price or a finished intranet. Do not add another licence cost if your organisation is already entitled. Confirm your exact Microsoft 365 plan and separate configuration, migration and extension costs.
Strengths
Office coauthoring, permissions, versioning and flexible sites. Trained business editors can maintain pages without IT for every change.
Trade-offs to check

Strengths
Knowledge tools, content review, directory and social tools. All features are included in the posted tiers.

The true total cost

Price the whole year, not just the licence.

Ask each supplier the same questions. Compare recurring subscriptions, one-off delivery costs and your team's ongoing work as separate lines.

  1. Users and minimums

Are you paying for all accounts or active users? What is the minimum seat count, and how are guests or occasional users charged?

  2. Currency, tax and renewals

Is the quote AUD or USD? Does it exclude GST or other taxes? Check the billing period, contract commitment and renewal changes.

  3. Implementation and migration

What do design, configuration, content migration and launch cost? Which tasks are yours, and which are included in the proposal?

  4. Microsoft 365 and add-ons

Which existing entitlements can you use? Price any required Microsoft licences, premium modules, mobile apps and extensions separately.

  5. Integrations and SSO

Does your tier include required identity, SSO and connectors? Who builds and maintains integrations, and what does that work cost?

  6. Storage and transfer

What are the allowances and excess charges? Unlimited user accounts do not automatically mean unlimited storage or data transfer.

  7. Ownership and training

Who keeps content current? Allow for owner time, contributor training, governance and adoption work with every product.

  8. Support and service

What are the support hours, response terms and ongoing service charges? Check the contracting entity and hosting commitments.

  9. Exit and export

Can you export documents, content and records in useful formats? Confirm termination terms, retention, export costs and migration assistance.

Before you shortlist

The pricing questions worth asking.

Is SharePoint free?

SharePoint may already be included in an eligible Microsoft 365 subscription, so you may not need another licence. It is not automatically a finished intranet. Configuration, design, migration, extensions, governance and ongoing content work can still cost money and time.

Does every intranet require IT?

Every intranet needs an accountable content owner. IT involvement varies. Trained SharePoint editors can maintain pages without IT for every change; IT or a partner normally owns tenant administration, security and integrations. Standalone and frontline tools may also need IT for identity, access and integrations, even when business teams manage content.

Are overseas dollar prices AUD?

No. Read the currency and billing terms. USD and AUD are different currencies, and a dollar symbol alone does not prove either. We have not converted vendor prices. Where currency is unclear, confirm it directly with the vendor. Compare taxes, contract periods and renewal terms too.

Does Australian origin mean local hosting?

No. Australian headquarters, an Australian team or Australian origin does not prove Australian hosting or wholly Australian ownership. Confirm the contracting entity, support hours, primary hosting and backup locations. Overseas vendors are not automatically unsafe or unsuitable; assess their actual terms and controls.

Which option suits us?

Start with the work your people need to do and the capacity you have to run the system. Compare Microsoft 365-based options if you have the skills and want that foundation, standalone intranets if you want a packaged business-led home, and frontline apps if mobile communications and operations come first. Test essential document, acknowledgement, search and workflow needs in a demo before deciding.

Next step

Compare the job, not just the licence.

Bring your headcount, current systems and essential requirements. We can help you check whether Platform is a fit, and what to ask of the other options on your shortlist.
