Platform + SharePoint

Create in SharePoint. Publish with confidence in Platform.

Keep the collaboration tools your team already uses. Give employees a clear place to find the approved policies, procedures and templates they need to do their work.

SharePoint can remain your working environment. Platform can be the company home for the information that is ready to use.

The reason to look beyond another folder

“Which version am I supposed to use?”

A policy is in a shared library. A copy is in an email. Someone has saved another to their desktop. The person who wrote it knows which version is approved—but the person who needs it may not.

For an employee trying to follow a procedure, complete an induction or find the right template, that uncertainty creates unnecessary work. For the business, it makes consistent processes harder to maintain.

The answer is not necessarily to replace SharePoint. It is to make the boundary between work in progress and approved company information unmistakable.

Two roles. One clear publishing process.

Keep collaboration. Add a trusted employee destination.

SharePoint: where documents take shape

Use your existing Microsoft 365 environment for drafting, co-authoring, discussion and review. Authors can keep working in familiar tools.

Working material belongs here until your organisation’s approval process says it is ready.

Platform: where employees find what to use

Give approved company policies, procedures, templates and everyday resources a clear home, organised around the people who need them.

Use Platform’s document controls and acknowledgement capabilities to support the published information—not to expose every working draft.

This is a proposed division of responsibilities, not a limitation of SharePoint. SharePoint also supports versioning, approvals and intranet publishing. Platform is an option when a distinct employee destination better suits your organisation.

How it works

From working draft to approved resource.

  1. 01 / CREATE

    Draft together

Prepare and review the document in SharePoint using your existing authoring process.

  2. 02 / APPROVE

    Make the decision

A nominated owner confirms the approved version, audience, effective date and next review.

  3. 03 / PUBLISH

    Give it a clear home

An authorised publisher places the approved resource in Platform, or publishes a link to its controlled SharePoint location.

  4. 04 / MAINTAIN

    Keep it dependable

Review the content, replace superseded versions and request acknowledgement when required.

The handover matters. Agree who publishes, which location is authoritative, and how changes reach employees. Adding a second system without those responsibilities can create another competing copy.

Why Platform fits

The requirements behind the request.

What your team needsA dependable place for approved information
How Platform can help

Organise published policies, procedures and templates in a company home, using categories and permission-aware search to help employees find relevant resources.

What your team needsClarity about the current version
How Platform can help

For documents managed in Platform, version history, rollback and latest-version links support a controlled publishing process.

What your team needsVisibility beyond “we sent an email”
How Platform can help

Views, downloads and policy acknowledgement reporting provide different kinds of activity evidence. Re-acknowledgement can support policy changes.

What your team needsAccess for the right people
How Platform can help

Role, group, branch and department permissions help shape access. Desktop and mobile options support people working away from the office.

What your team needsA path from information to action
How Platform can help

Bring policies together with forms, requests and multistage approvals so employees can find the guidance and the next step in the same intranet.

What your team needsHelp making it work in practice
How Platform can help

Platform’s Australian team can help shape the content structure, configuration and implementation around your organisation.

Capabilities depend on the agreed configuration. A recorded view is not proof of reading or understanding; an acknowledgement records an explicit response, not a guarantee of compliance.

Choose the right document model

Publish the approved document—or point to it.

Manage the published version in Platform

Keep working drafts in SharePoint and release the approved employee-facing version into Platform.

This suits organisations that want a distinct published library and Platform-managed document versioning and acknowledgements.

Make it work: nominate a publisher, identify the authoritative published version and update it through a controlled release process.

Keep the document in SharePoint

Use Platform as the employee entry point, with a link to the approved document in a controlled SharePoint location.

This can reduce duplicate file storage while giving people a clearer route to the resources they need.

Make it work: maintain stable links and check SharePoint access for every intended audience. Platform access does not itself grant SharePoint access.

Working alongside SharePoint does not automatically mean synchronising with it. File transfers, permissions, sign-in and reporting across systems must be scoped explicitly. Do not assume a SharePoint-linked document has the same tracking or version behaviour as a document managed in Platform.

Start with the documents that matter

You do not need to move every file.

Start with the company information employees repeatedly need: HR policies, operating procedures, onboarding guidance, approved templates and commonly used forms.

For example, an operations team might draft a travel policy in SharePoint, approve it through its existing review process, then publish the approved version in Platform beside the expense-claim form. Employees have a clear destination; the owner has a defined process for the next update.

Illustrative workflow, not a customer case study or a claim of automatic document transfer.

This approach can suit smaller organisations with a focused collection of core documents as well as distributed teams. It is not a proposal to replace specialist construction drawing control, project-document systems or formal records-management software.

Common questions

Platform and SharePoint, together.

Do we have to replace SharePoint?

No. Your team can continue to create and collaborate in SharePoint while Platform provides a distinct destination for approved company resources and employee communication.

Could we do this in SharePoint alone?

Yes, SharePoint can support controlled publishing and an intranet experience. The question is whether your current setup makes approved information clear and accessible to your employees, and whether you have the capacity to maintain that experience. Platform provides another operating model to evaluate alongside your existing investment.

Will documents synchronise automatically?

Automatic synchronisation is not assumed in this approach. Start with a defined publishing or linking process. If you need automation, agree the integration scope, permissions, failure handling and version rules with the implementation team.

Can we see who has accessed or acknowledged a policy?

Platform offers document activity and acknowledgement reporting for supported, configured use cases. In your demo, check which events are recorded for Platform-managed documents and what is available for external links. Opening a link should not be treated as evidence that a SharePoint document was read.

How do we avoid two competing versions?

Define one authoritative published location for each resource. Keep drafts separate, nominate an owner and publisher, and agree how updates replace the published version. Encourage employees to use the current resource link rather than saved attachments; downloaded or printed copies still need their own controls.

What should we bring to a demo?

Bring one policy or procedure, its current approval process, the audiences who need it and the evidence you want to capture. We can work through how it would be authored, approved, published, accessed and updated alongside your SharePoint environment.
